How Crew Center uses your data.
Crew Center is an independently developed, non-commercial student project for voluntary FIS Media Club participation. It uses only the information needed to run member accounts, crews, equipment, attendance and club projects. It does not sell personal data, show advertising or use AI to make decisions about members.
Who is responsible
Project operator and contact: Shenghan Lang
The project supports FIS Media Club, but is independently developed. A postal contact and any formal school supervisory details will be added once they are confirmed.
Why it is used
Data is used to review applications, provide accounts, coordinate event and meeting attendance, assign crew roles, manage equipment, send requested operational updates and publish approved Media Club work.
Information the system may hold
- Name, FIS email alias, year group, club role, interests and application answers.
- Account identifier, access permissions, interface preferences and notification choices.
- Event signups, crew roles, attendance, meeting responses and equipment reservations.
- Optional profile picture, previous-work link and approved photos or videos uploaded for club projects.
- Basic technical request and security data processed by the hosting and security providers, such as IP address, browser details and request time.
Please do not submit sensitive personal information that Crew Center does not ask for.
Reason for processing
Necessary account and activity data is used to provide the Crew Center features a member asks to use. Security and basic administration are carried out for the legitimate interest of operating the project safely. Optional profile pictures and email notification choices are controlled by the member and can be removed or switched off.
Who can see it
Signed-in members, authorized student leaders and supervising staff see only the information their role requires. Selected showcase media can be public. Optional profile pictures and selected media may be served from public file links, so only approved material should be uploaded. Restricted galleries use access rules and time-limited links.
Services used
These companies process limited data to provide the site:
- Supabase — authentication, database, file storage and server functions. The project's primary data region is Ireland (
eu-west-1). Supabase Privacy Policy - Cloudflare — website hosting, delivery, security and Turnstile human verification through Cloudflare's network, including European data centres. Cloudflare Privacy Policy
- Resend — operational emails such as account, application and event messages, routed and sent through the configured Ireland region. Resend Privacy Policy
The project uses European regions where the service offers that choice. This does not mean every provider record stays only in the EU: Cloudflare Pages uses a global delivery network, and Resend states that account data, message content and delivery logs are stored in the United States. Any transfers outside the European Economic Area use the safeguards described in the providers' privacy and data-processing information.
Browser storage
Crew Center uses necessary browser storage to keep a member signed in and remember choices such as theme, tutorials and dashboard layout. It does not use advertising trackers or third-party analytics.
How long it is kept
Records are kept only while they are useful for current applications, club coordination, equipment accountability or account security. There is not yet a fixed automatic deletion schedule. A member can ask for their data or account to be corrected or removed.
Your choices and rights
You can ask what data is held, request a correction or deletion, object to certain uses, withdraw an optional choice, or ask for a copy. A student or parent can also raise a privacy concern. Some operational records may need to be kept briefly to resolve equipment, security or account issues.
